Grafokett arranged standardized label management for global company

The multinational industrial company had to deal with around 10,000 incorrectly labeled boxes – every month. Grafokett solved a standardized box label for global implementation, also for subcontractors, to secure the entire chain.

10,000 incorrect packages every month

Ten thousand mislabelled boxes sounds like a lot – and it is, but without standardization, it’s easy to happen. The company was faced with several suppliers sending goods mislabeled, often with reused packaging with old labels visible. In some cases, the labeling looked right, but contained incorrect product data. The label designs were different every time, the barcodes were not organized – there was no standard.

– No supplier, partner or even they themselves labeled boxes in a uniform way. It was up to the person who packaged the products to label with a barcode that was arbitrary, product data that sounded right, design that seemed to work, and so on, summarizes Olof Hultberg, Key Account Manager and CTO at Grafokett.

To deal with the problem, the company had a full-time position dedicated to carrying out checks, re-labeling and re-sorting. Sometimes more resources were required than this. In addition to the practicalities of dealing with this mess, there were, of course, delays and, in some cases, lost parcels.

Got in touch through a common business partner

One of Grafokett’s existing customers turned out to be a subcontractor to the large company, and suggested that Grafokett could probably help them with their challenge. Grafokett had a solution, so soon after the company made contact, the project was underway. The hunt for the ten thousand mislabeled boxes could begin.

– A project group was immediately set up to develop a specification with clear guidelines. Which barcode type and label size should be used, and which product data is mandatory? The type of cartons, label materials and quality required to make the labeling and packaging manageable and readable throughout the supply chain were also defined.

The company developed an embryo for a template. Based on it, Grafokett created a specification to clarify variable data, graphic objects, lines, and so on. Everything was entered into Cloudlabel, which is a web-based label management system that Grafokett offers. Via Cloudlabel, it is easy to design, manage barcodes and print labels, anywhere in the world.

The system makes it easy to connect subcontractors as well, to ensure the quality of the entire chain.

– Invitations are sent by email and the subcontractor’s items are imported into the system. They can then search their own item IDs to find the right label,” explains Olof Hultberg.
